The best way to illustrate the versatility of Document Management software is to give you an example of a solution we provided for an existing client:
We designed and manage a database for one of our clients for whom we mail a monthly magazine that the contacts on the database subscribe to. This magazine gets mailed along with a covering letter. Due to the numerous types of subscription that people can sign up for and the various different stages that people are at with their subscriptions there are more than 12 different letters that a contact can possibly receive. A different person signs each letter.
Previously, all the sections of data had to be selected manually and then the 12 letters had to be individually set up. Our client was looking for a way to consolidate all this together, so that there was one mailing process instead of 12 or so smaller mailings. This would also enable them to take maximum advantage of mailsorting one large job.
The solution we provided was to use the existing subscription codes in the data to categorise the mailing list into the relevant groups as before. We then used our software’s ‘True’ or ‘False’ conditional programming to assign the relevant letters automatically to a contact depending on their subscription code. The software also added the relevant signature to the letter and was able to drop in specifically targeted promotions to those contacts who had signed up for a two year subscription. The result was that we had one mailing list that could be mailsorted (and therefore mix up all the subscription codes) and then the software would bring in the relevant letter to the relevant contact.
This in turn saved us time and most importantly, our client a lot of money!
